Coordinator, Attractions and Competitions Serve as staff coordinator for Agriculture Education, Special Attractions Committee, Horticulture Committee, Mutton Bustin' Committee, Tours Committee and School Art Committee.
Under limited supervision, provide administrative and data entry support for the Exhibits and Attractions division and its other committees as needed.
ESSENTIAL DUTIES/RESPONSIBILITIES include but are not limited to the following:
Support Manager, Attractions and Competitions in the coordination and execution of the Horticulture Program, including:
Develop and monitor budgets.
Coordinate program events, including youth landscape, horticulture, and floral competitions; judging; and educational exhibits.
Communicate with contestants regarding entry, rules, results, and other logistical needs.
Manage content, production, and distribution of program materials, including the competition rules, entry forms, educational opportunity applications, judging forms and all other forms and correspondence.
Promote event and manage outreach to participants.
Coordination of exhibitor packet distribution, including procurement of packet materials, fulfillment, and mailing.
Coordination of activities of external vendors, including florist vendor and awards vendor.
Plan and coordinate execution of operational logistics necessary to host events, including room reservations, AV systems, layout flow, signage, scheduling, hospitality, and set-up and tear down of competition areas.

Support the Manager, Attractions and Competitions in the coordination and execution of the Mutton Bustin' event, including:
Develop and monitor budgets.
Maintain database of all entries.
Communicate with contestants regarding entry, rules, results and other logistical needs.
Coordination of contestant packets and orientation program.
Assist with preparation of prizes awarded to contestants.
Coordination of stadium presentation with the Studio and Grand Entry.
Support committee in daily operations of The Junction attraction and stadium presentation.

Support the Manager, Attractions and Competitions in the coordination and execution of the Agriculture Education Coloring Contest, including:
Develop and monitor budgets Coordinate the production and distribution of Activity Books.
Work with committee leadership on communicating with participating schools.
Maintain database of winning entries.
Communicate with contestants regarding results and logistical needs.
Coordination of winning contestant packets.
Coordination of Coloring Contest display setup/teardown 4.
Support Manager, Attractions and Competitions, activities involved in the planning, development, and execution of the school tours and field trip program, the VIP tour program, and other hosting and touring programs, including:
Coordinate online scheduling of school tours and field trips, including managing online information and database.
Assist in communications with teachers and other school representatives.
Coordinate parking pass and ticket distribution to participating schools.
Develop, print, and distribute Show and attraction specific information to participating schools.

Support Director, Auctions and Attractions in the coordination and execution of the School Art Program, including:
Develop and monitor budgets.
Maintain the database of all school records.
Administer the waitlist application process.
Coordinate program events, such as open houses, district and private school judging, Grand Prix judging, Quick Draw Contest, and awards ceremony.
Manage content, production, and distribution of program materials, including the competition rules, entry forms, educational opportunity applications, judging forms and all other forms and correspondence.
Coordinate trophy, ribbon and medal orders.
Plan and coordinate execution of operational logistics necessary to host events, including room reservations, AV systems, layout flow, signage, scheduling, art loading and unloading, hospitality, and set-up and tear down of competition areas.

Support special projects, as directed by the Manager, Attractions and Competitions.

Serve as staff coordinator for six committees - Agriculture Education Committee, Special Attractions Committee, Horticulture Committee, Mutton Bustin' Committee, Tours Committee and School Art Committee:
Develop and maintains relationships with committee chairmen and officers.
Coordinate, schedule and attend meetings, including room reservations and set-up, AV systems, signage, hospitality, etc.
Support administrative and other committee needs.
Support chairman and officer in developing and monitoring committee budgets.
Work with committee chairmen and officers in maintenance of membership rosters, scheduling and attending meetings and functions.

Process payables and receivables in accordance with all policies and procedures set forth by the Finance Division.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

EDUCATION and/or EXPERIENCE Bachelor's degree in a related field from four-year college or university plus one to three years of work experience, with strong data entry and customer service skills.
LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of Managing Directors, clients, customers, and the general public.
OTHER SKILLS AND ABILITIES Requires proficiency in word processing and other software including Word, Access, and Excel.
Requires the ability to manage multiple tasks and shift of focus on a regular basis.
Must possess the ability to interact with all levels of people, both within and outside of the organization, and demonstrate a high level of customer service skill.
Must possess excellent organizational and communication skills, oral and written, and the ability to be flexible and productive in a fast-paced environment.

Extremely fast-paced, deadline-oriented environment, with periodic high stress situations.
